Adding New Users

To add a new user to your organization log into Agility Blue and prior to selecting a workspace navigate to the users Tab. If already logged into a workspace navigate to the Go Home button located within the Agility Blue logo then select the users tab. Users can be added by selcting +New User button.

A new user creation window will open. Fill out the following fields for each new user.

The remaining number of seats (licensed user accounts) can be noted at the top of the new user window. Contact your Agility Blue account manager to add additional seats.

Email (1)

A valid email is required for all users.

First Name (2)

User's first name.

Last Name (3)

User's last name.

Time Zone (4)

Select the time zone for the new user if known or leave the field blank and the system will set the new account to the workspace time zone. This setting allows the system to adjust how times appear in emails generated by Agility Blue.

Roles (5)

Roles are defined at the organization level and users can be given one or more of the following roles.

Roles vs Permissions

Roles do not define the permissions given within a workspace. Permissions can be controlled via permission groups from within the workspace level settings.

  • Portal User - This user role only grants access to the Agility Blue request portal, without access to the core application. Portal only users do not count against the organization's seat licences.
  • Organizational User - This user role grants access to the core application and all the functions within. These users will not by default have access to the Agility Blue portal. Organization Users count against the total amount of seats a license allows.
  • Organization Administrator - This user role grants access to the core application as well as the organizational level settings. Users with this role will also by default be given access to the Agility Blue portal. Organization Administrators count against the total amount of seats a license allows.
Roles and User Licences

If a sigle user has both the Organization User and Organization Administrator roles, only one seat is counted. You can increase your available licensed user seats by disabling or deleting existing licensed users or by contacting your Agility Blue account manager and requesting a licensed user seat increase.

Workspace Access (6)

Add or remove access to the available workspaces within the organization. The system will by default include all available workspaces in this section.

Manual Passwords (7)

If left in the off position the new user will be prompted upon first sign in to set a password. If turned on, the workspace administrator completing the form will be prompted upon saving to manually set the password for the new user.

Welcome Emails (8)

If left in the on position, upon saving the form a system generated email will be sent to the new user notifying them of their new access to the workspace(s) or portal. If turned off the new user will not receive an email from the Agility Blue system notifying them of their newly granted access.

Default Notification Rules (9)

If left in the on position the new user will receive 23 default notification rules in the workspace(s) they have been granted access to. These rules control the automated notification emails generated by the system for a wide variety of actions in the workspace. If the option is turned off the new user will have no default notification rules and will not receive any notifications from the application.

The above user settings can be modified at any time. Welcome emails can be resent at any time from a user’s account details page.
