Accessing the Add-in

Once the Agility Blue Outlook Add-in is installed, you will need go through the initial setup and then you will have the ability to create tasks from the add-in.

Opening the Add-in

Look for the Agility Blue button in your Outlook ribbon (Home tab) or email message while you have an email selected for reading.

Below is an example of the button location directly on an email message. Your exact view may be different depending on your Outlook theme, the version, the operating system, and how many add-ins you currently have installed. If you don’t see the button, you may need to click on the button with three dots to reveal a menu with additional add-ins and actions. If you still do not see the add-in, and you also can’t locate it on the top ribbon bar, contact your IT helpdesk for further assistance to troubleshoot the installation and availability of the add-in for you.

Click the button to open the add-in panel and it will appear as a panel on the right side of your Outlook window.

At the top of the add-in, you have the opportunity to pin the panel (on supported devices) or close the panel. If you choose to pin the panel, the context of the panel will change when you select different emails.

Initial Setup

The Agility Blue Outlook Add-in is designed to maintain the same login experience you use when logging into the main application.

Required Roles

The app is designed for Organization Administrator and Organization User access only. Accounts that do not have at least one of these roles, such as portal-only users, will not be able to login and use the Agility Blue Outlook add-in.

When you first start the add-in, you will be prompted with a first-run setup view.

For Agility Blue Site URL, copy or type the URL you use to access Agility Blue.

  • Pro customers in the US will use https://agilityblue.com

  • Pro customers in Canada will use https://agilityblue.com/ca

  • Enterprise customers will have a subdomain, like https://org.agilityblue.com

As you type in your site, the add-in will try to validate your site automatically. Once you’ve entered a valid address, you will presented with your account login options. Enterprise customers may see different options here, such as no Agility Blue Account username/password inputs or show a SAML2 SSO button. Use the same method here you would use to login to the main application.

Single Sign-On

Note that if you use Single-Sign On, a pop-up window may appear that will bring you to the login flow for your identity provider’s sign-in process, which may or may not require input from you depending on if you’re already signed in with your provider or not. After you’ve completed the sign-in process with your identity provider, the window will close and bring you back to the add-in, which will advance onto the next step provided you’ve successfully logged in.

After successfully logging in, you need to select the default workspace that the add-in will operate within. The workspaces displayed here will depend on how many workspaces you have access to. Select your desired workspace and click on the Finish button.

After finishing the initial setup, the add-in will present you with a screen that indicates that setup is complete. You will not have to go through the login or setup process again unless you need to setup the add-in on other computers or devices.

Click the Get Started button to bring you to the default task creation view. See the using the Outlook add-in article for more information on how to use the add-in.

Adjusting Your Settings

After you complete setup, you can click on the settings icon button at the top right at any point to update your available settings.

The settings view allows you to change your workspace, view connection status, display build information about the add-in, resync permissions, and reset the add-in. Click the back button < to go back to the previous view in the add-in panel.

  • Select Workspace
    Select a different workspace if you would like to change the workspace that the add-in is currently operating within.

  • Connection Status

    Shows basic information about what workspace is currently selected, the user account that’s currently logged in, and the roles that user account has assigned.

  • About

    Shows information about the add-in’s version and build, which can be helpful to provide when troubleshooting issues. There is also an enable diagnostics switch that can be flipped on in some situations where the add-in will show details on steps that are happening while creating tasks in the event further troubleshooting is needed.

  • Resync Permissions

    Permissions are cached for a little while within the add-in while you’re using it. If an Agility Blue admin recently increased your permissions and you haven’t seen them applied in the add-in yet, use this button to refresh your permissions.

  • Reset Add-in

    This will remove your setup, login, and saved data within the add-in and bring you back to the setup view. Useful if you need to switch to another instance of Agility Blue.

Changing the Theme

Next to the settings button, you can use the sun/moon icon button to switch between the add-in’s dark theme and light theme whenever you like without having to reload the add-in.
